Do you choose optimization via the end-of-year bonus, gross salary exchange, or do you as an employer contribute to the costs?
Gross salary exchange
This budget-neutral option is frequently applied, but it is only possible if your employee’s salary exceeds the legal pay scale.
Optimization via the end-of-year bonus
This option is also budget-neutral and offers several advantages compared to gross salary exchange, but it is not possible in all joint committees.
Net salary exchange
Another option for sectors with fixed pay scales. As an employer, you usually cover (part of) the costs and record them as operational expenses.
💡 Whichever optimization you choose, we ensure the correct setup with the appropriate tax percentages, so that no issues arise during a social inspection. We simplify the paperwork: the bicycle policy, the addendum to the employment contract, and the declaration of honor. Our templates can easily be adapted.
The BICYCLE POLICY contains all internal agreements between employer and employee regarding the use of the bicycle, financial impact, insurance, contract duration, and more. The ADDENDUM is an annex to the employment contract that regulates everything affecting your employee’s salary. In the DECLARATION OF HONOR , your employee declares that they regularly use the lease bicycle for commuting.
2. Smooth communication via the user-friendly app, website, and phone
During an information session (online or on-site), employees are clearly informed about our bicycle leasing and receive a detailed explanation of our online platform.

- During the session, employees receive a login for the webshop so they can quickly create an account.

All information can also be found on the personalized online platform tailored to your company, where:

as an employer, you can view and request all documents, grant approvals, consult all information about ongoing contracts, access reports, and follow up on maintenance schedules...
3. Test event at your company
We come to your company so that employees can thoroughly test our high-quality bicycles. Our experts answer all their questions and immediately process orders.
How does it work?
We schedule a date with the HR department. Through the registration form on the personalized online platform, your employees can indicate which time slot they prefer. On the agreed day, we bring our extensive range of city bikes, e-bikes, speed pedelecs, folding bikes, and cargo bikes to your location.
Our team of specialists advises employees on their bicycle choice and explains the practical and financial aspects of leasing. Once employees have made their decision, they can order their bicycle on-site, visit their preferred bicycle dealer, or place their order later from home via the webshop.
If an employee cannot attend the test event, no problem: they can visit one of our eight stores in Ghent, Roeselare, Aalst, Sint-Niklaas, Lier and Kluisbergen, Aalter, and Zedelgem, including during the lease period.
A test event is not a one-time occurrence. In consultation and according to need, we can return, for example for new hires or when lease contracts expire. This ensures everything runs smoothly again, with minimal impact on your planning and HR tasks. Even without a test event, we are always at your service.
4. Efficient ordering and delivery
Once the choice has been made, employees can order their bicycle in five ways:
- During the test event.
- Via the webshop on their personalized online platform.
- In one of our eight stores across Flanders.
- By phone or email to your contact person at Cyclobility.
- Through the bicycle dealer: simply upload the dealer’s quotation to our platform.
After the order is placed, we send the necessary documents to the employee. Everything can be easily signed and stored digitally in the online platform. As an employer, you receive a clear overview of all orders and can approve them easily.
Once the order is confirmed, we get to work immediately.
Our platform also integrates with the tools of most social secretariats and payroll systems such as Payflip.
5. 24/7 roadside assistance
Breakdown on the road? Your employees can rely on 24/7 assistance from VAB and a free replacement bike if their own bicycle is unavailable for a longer period. A lease bicycle is only truly valuable if you can always rely on it.
6. Unlimited maintenance and repairs
We work exclusively with high-quality bicycles that we fully trust. The expertise of our team and the excellent service of our top brands allow us to offer full warranty and unlimited maintenance and repairs throughout the entire lease period with complete peace of mind.
Thanks to our mobile repair service, your employees do not need to travel: we come to you, at home or at work. In our stores as well, we guarantee short waiting times and maximum flexibility.
7. End of lease and new contract
At the end of the lease period, we offer several options. Employees can purchase the bicycle or return it and immediately enter into a new contract.
A smart option is to take over the old lease bicycle at its residual value and start a new lease contract. This way, the employee continues to benefit from all the advantages of leasing through Cyclobility.
If the bicycle is returned, we collect it free of charge from the employee’s home.
What happens in case of early termination due to resignation or dismissal?
Option 1: The employee takes over the bicycle at its residual value at the time of termination, without additional costs.
Option 2: A colleague takes over the contract free of charge. We handle everything.
Option 3: The (former) employee returns the bicycle to us. In this case, we charge a termination fee. However, there is no need to worry: it is always the lowest on the market.
