  • You can register on the portal using this link: Cyclobility Portal

  • Prepare an offer according to the specific terms agreed upon in the cooperation agreement with Cyclobility.

    Points of attention:


    - Do not apply discounts. If you do choose to apply additional discounts to the offer, keep in mind that when you sell to Cyclobility, you must also apply the partner discount.

    - Do not include administrative fees.

    - Include an ART II lock (or an ART III lock for bikes in the racing segment).

  • No, not on the offer but on the invoice.

  • The cyclist uploads the offer through his/her personal account in the Cyclobility platform and selects you as a partner for the order.
    Tip
    : Also advise the user in advance when determining a maintenance budget that fits their specific needs.

  • Yes, you have to bill the admin fee at 21%.

  • Cyclobility and subsequently the employer approve the offer.

    After approval, the offer is automatically converted into an order. You can always track the status of the order in your order overview on our platform.

    You will receive an order confirmation by email, including a purchase order, with the option to download the purchase order via our platform.

  • Our portal is supported by AI, which makes it difficult to recognize handwritten offers. As a result, your customer may receive an error message in our portal. We will follow this up manually, but it will take a bit longer. Therefore, we generally discourage this, but it is possible.

  • The bike is assembled and made fully ride-ready by you, with all parts installed. The bike is labeled with a Cyclobility sticker showing the order number.

  • They will be sent to you after you have created an account. If you want to order more, please send a request to purchase@cyclobility.be.

  • The process is as follows:

    • The bike dealer is responsible for the pre-registration of the bike.
    • The bike dealer sends a copy of the COC document plus the E705 sticker by email to Cyclobility at warehouse@cyclobility.be, mentioning the Cyclobility order number.
    • Cyclobility requests the license plate and sends it, together with the registration certificate, by mail to the bike dealer.
    • The bike dealer attaches the license plate and hands over the registration certificate to the employee when delivering their bike.


  • Upload this together with the delivery note in the portal.

    Upload your invoice:

    • Including the partner discount
    • Including the agreed administrative fee
    • Addressed to Cyclobility BV, Oudenaardebaan 2, 9690 Kluisbergen,
      BE0659786377
    • Upload a photo of the bike with the Cyclobility sticker clearly visible.
  • Cyclobility will pay your invoice within the agreed payment term after receiving the correct invoice.

  • The delivery note can be downloaded from the portal as soon as the dealer has entered a delivery date in the portal. The purchase order can also be downloaded there, but it is also sent to the dealer by email after both Cyclobility and our customer have approved the order.

    1. Download the purchase order via the dropdown menu on the right side of the order screen.
    2. Enter the delivery date by clicking “Edit” in the dropdown.
    3. Download the delivery note via the dropdown menu on the right side of the order screen.
  • Coordinate the delivery date with the cyclist.

    Enter the following information through the platform (found under the ‘Orders’ section in your account settings):

    • Delivery date
    • Frame number
    • License plate

    Then download the delivery note from the portal by clicking ‘Edit’ on the right side of the screen.

    • Take a photo of the bike clearly showing the Cyclobility sticker.
    • Deliver the bike to the cyclist.
    • Have the delivery note signed by the cyclist.

Order and delivery process for Cyclobility lease bikes

Step 1: Creating an offer

Create an offer based on the specific terms agreed upon in the collaboration agreement with Cyclobility.

Important notes:

  • Use recommended retail prices only; do not apply any discounts. If you still choose to grant an additional discount in the offer, keep in mind that the same partner discount must be applied when invoicing Cyclobility.
  • Do not include any administrative fees in the offer.
  • Make sure to include an ART II lock (or an ART III lock for bikes in the racing segment).

Step 2: Upload the offer

The cyclist uploads the offer through their personal account on the Cyclobility platform and selects you as the partner for the order.

Tip: advise the user beforehand to determine a maintenance budget that suits their specific needs.

Step 3: Approval of the offer

Cyclobility will review your offer and approve it if everything is okay. After that, the employer of the leaser will approve the offer.

Once approved, the offer is automatically converted into an order. You will receive an order confirmation by email, including a purchase order, with the option to download the purchase order via our platform.

You can track the status of the order in your overview of orders on our platform.

Step 4: Order and preparation

The bike is assembled and made fully ride-ready by you, with all parts installed. The bike is labeled with a Cyclobility sticker showing the lease bike’s order number.

Delivery of speed pedelec:

  • The bike dealer is responsible for the pre-registration of the bike.
  • The bike dealer sends a copy of the COC document + the 3-digit code of the E705 sticker by email to Cyclobility at warehouse@cyclobility.be, mentioning the Cyclobility order number.

Soon, this information can also be uploaded directly to the Cyclobility platform.

  • Cyclobility requests the license plate and sends it, together with the registration certificate, by mail to the bike dealer.
  • The bike dealer attaches the license plate and hands over the registration certificate to the employee when delivering their bike.

Step 5: Schedule delivery

Coordinate the delivery date with the cyclist.

Enter the following information through the platform (found under the ‘Orders’ section in your account settings):

  • Delivery date
  • Frame number
  • License plate

Then download the delivery note from the portal.

Step 6: Delivery of the bicycle

Take a photo of the bike clearly showing the Cyclobility sticker.

Deliver the bike to the cyclist and have the delivery note signed by the cyclist.

Step 7: Uploading documents

Upload the signed delivery note in the platform.

Upload your invoice :

- Including the partner discount

- Including the agreed admin fee

- Addressed to Cyclobility BV, Oudenaardebaan 2, 9690 Kluisbergen, BE0659786377

Upload the photo of the bike with visible sticker.
